Bristol Hospitality Network (www.bhn.org.uk)  is looking for a confident administrator (initially on a temporary 6 month contract) to support us as we transition to our new Database system. We particularly encourage people with lived experience of the asylum system to apply as we see this role as a springboard to permanent work in the refugee sector.

JOB DESCRIPTION
 

Job Title: BHN Administrator (Temporary)

Salary: £18,000 FTE (This is a part time post at 15 hours a week so the actual salary will be £7,200 before tax is deducted)

Hours of Work: 15 hours per week (usually over 2 days)

Place of Work: Easton Family Centre, BS5 0SQ

Responsible to: BHN HELP Team Manager

Responsible for: Administration

Purpose of Job: This is a role which we strongly encourage those with lived experience of destitution and/or the asylum system to apply for. You will receive clear direction on your role, the tasks required and the prioritisation.

 

The main responsibilities are:

  • Keep accurate records

  • Support the HELP Team manager and other staff to gather data for the BHN Lamplight database system and input this into the system

  • Transfer text and numerical data from existing systems into Lamplight, in date order and ensuring accuracy

  • Check that all records have complete and comprehensive data

  • Learn how to troubleshoot the database system and support staff to understand it.

  • Be a core team member of BHN’s diverse and friendly staff team

    Support and supervision will be provided.
     

Contract: Fixed term for 6 months (extension possible; funding dependent)

Main tasks:

Administration:

1.1 To provide administrative support to the HELP Team, Host Team, House Team and other staff in the transition to our new Lamplight Database (a case management system)

1.2 To input data accurately and in a timely manner to the database system

1.3 To gather data from various other sources (google suite, excel) and input to the new system

IT support

2.1. Support staff to understand the database and use it effectively

2.2. Support staff to use the google suite and shared google drives

Other

3.1. To work within the wider staff team of BHN, attend staff meetings and participate in training opportunities appropriate to the post.

3.2. To promote equality and rights for asylum seekers, model anti-oppressive behaviour and implement BHN's Equity, Diversity and Inclusion policy.

3.3. To work within BHN's aims, objectives and policies.

3.5  To carry out additional duties in consultation with the line manager as are consistent with the responsibilities of the post, including providing cover for other staff and volunteers if required.

PERSON SPECIFICATION

ESSENTIAL CRITERIA

Administration

  1. At least 6 months experience as an administrator in a charity or similar organisation

  2. Experience of inputting numerical and text data to databases, and working with Excel spreadsheets

IT skills:

     3, Competent with IT systems including google suite (Google Drive, gdocs etc).

Language and accuracy:

     4.  Good English language and numerical writing and reading

     5. Excellent accuracy and attention to detail 

     6. Ability to accurately copy, transfer, archive and collate case records and dates

Understanding BHN members:

     7. Understanding of the experience and needs of destitute asylum seekers.

     8. Awareness of, and commitment to, the mission statement, values and objectives of BHN.

     9. Understanding of and commitment to equity, diversity and inclusion

General skills

     10, Ability to work in a team with BHN members, colleagues, trustees and volunteers

     11. Understanding of, and commitment to, Safeguarding, GDPR and Data Protection.

 

DESIRABLE CRITERIA

     1. Experience of and /or deeper understanding of the asylum process

     2. Speak a language commonly spoken by our members: e.g. Arabic, Farsi,  Tigrinya, Amharic, Kurdish Sorani 

     3. Have worked specifically with Lamplight (or a similar case management system) database in a previous role

     4. Keen to develop new skills and continue professional development in BHN.
